3. Records Held by One IT Consulting

The following categories of records are held by One IT Consulting. Note that access to records may be subject to the grounds of refusal set out in PAIA.

3.1 Records Required by Law

• Company registration documents (CIPC)
• SARS tax records and returns
• VAT records and submissions
• UIF and COIDA records
• BBBEE certificate

3.2 Operational Records

• Customer account information (names, email addresses, company details)
• Billing and payment records
• Service contracts and agreements
• Support ticket history
• Technical configuration data (monitored targets, alert settings)

3.3 Technical Records

• Network monitoring data (ping results, uptime, latency)
• Event and alert history
• Audit logs
• Server and infrastructure logs
• Agent deployment information

3.4 Personnel Records (if applicable)

• Employee contracts and records
• Payroll records
• Performance reviews

4. Request Procedure

To request access to records under PAIA:

1. Submit a request in writing to the Information Officer at paia@isitme.co.za
2. Provide sufficient detail to identify the record(s) requested
3. Indicate the form of access required (copy, inspection, etc.)
4. Provide your contact details for correspondence
5. State the purpose of the request (if applicable)

We will respond to your request within 30 days as required by PAIA. If the request is denied, we will provide reasons for the refusal.

5. Grounds for Refusal

Access may be refused on the following grounds as set out in PAIA:

• Protection of personal information of third parties (Section 34)
• Commercial information of the private body (Section 36)
• Confidential information of third parties (Section 37)
• Safety of individuals (Section 38)
• Property of the private body (Section 39)
• Privileged information (Section 40)

6. Fees

The following fees apply to PAIA requests as prescribed by regulation:

A deposit of 30% of the estimated fee may be required for requests requiring more than 6 hours of search.

7. Availability of the Manual

This Manual is available:

• On our website at isitme.co.za/paia
• At our offices (by appointment)
• At the SAHRC offices

8. POPIA Compliance

In accordance with POPIA, this Manual also serves as the designated mechanism for data subject requests. For POPIA-related requests (access, correction, deletion of personal information), please contact the Information Officer at popia@isitme.co.za.
